Running your event

From creating an event to checking people in on the day.

Getting started

To create events you sign in with your email — no password. We send a one-time sign-in link to your inbox; click it and you're in. Creating events requires an active subscription; everyone else on your teamis covered by the account owner's plan.

Once you're in, hit + New event in the top bar to get going.

Creating an event

An event is the container for your timeslots. When you create one you can set:

  • Name — required.
  • Custom link — set a friendly URL like /events/spring-cleanup instead of a long random one.
  • Description — optional rich text shown to anyone viewing the event.
  • Location — optional; start typing an address to autocomplete it, and participants see an embedded map.
  • Sign-up fields — name and email are always collected (phone is optional). Add your own custom fields (text or number, optionally required) to capture anything else, like a t-shirt size or a guest count.

You can edit all of this later from the event's Edit button.

Adding timeslots

Timeslots are the slots people sign up for. From an event page you can + Add one at a time, or + Bulk add to create many at once. For each slot you set a start and end time, an optional label, and an optional capacity(max participants). Leave capacity blank for unlimited sign-ups; once a slot is full it shows as full and can't be booked.

Recurring timeslots

For a schedule that repeats, open ↻ Set recurring. You describe a weekly set of slots and how often it repeats (every week, every two weeks, and so on), and Shortbread lays those slots down automatically going forward. Edits to the template keep future slots in sync — and slots that already have sign-ups are never removed.

Sharing your event

Open your event and use the Share panel to copy the public link or show a QR code you can print or display. Anyone with the link can sign up — no account required.

The Show signupstoggle controls whether participants can see who else has signed up for each slot. It's off by default.

Day-of check-in

On the day, open your event and tap Day of for a check-in screen built for your phone. It lists everyone signed up for the selected day, grouped by slot, with a running checked-in count. Tap a person to check them in; tap again to undo. Use the date picker to view another day.

Participants also carry a personal QR check-in code. Point your phone's camera at it and it opens straight to that person's check-in screen — handy for a busy door. (Only people on your team with the “Manage sign-ups” permission can actually check someone in.)

Reminders

Shortbread automatically emails each participant a reminder 24 hours before their slot and again 10 minutes before it starts. If a participant has opted in and provided a phone number, they also get the reminder by SMS. Reminders include links to the event and to manage their sign-up.

Exporting participants

Need the list elsewhere? On the event page, organizers with the “Export data” permission can Download participants CSV — a spreadsheet of everyone signed up, with their slot, contact details, and any custom-field answers.

Your team & permissions

Everyone on your account shares the same events, timeslots, and sign-ups. From Settings → Team, the account owner can rename the team and invite teammates by email. Owners have full access to everything.

For each invited member, the owner toggles individual permissions:

  • Create & edit events — author events, timeslots, and recurrence.
  • Manage sign-ups & check-in — edit participants and check people in.
  • Delete events.
  • Export participant data.

Billing & subscription

Creating and managing events needs an active subscription — $9/month for unlimited events, timeslots, participants, reminders, CSV export, and custom fields. Only the account owner subscribes; the rest of the team is covered.

Payments run securely through Stripe. The owner can update a payment method or cancel anytime from Settings → Subscription → Manage subscription.

For participants

Signing up

No account needed — just your name and email.

Signing up for a slot

Open the link the organizer shared (or scan their QR code), pick an open slot, and enter your name and email — that's it, no account required. The organizer may ask for a few extra details. If a slot is full, choose another one. You'll get a confirmation and, closer to the date, a reminder.

Cancel or reschedule

Every sign-up comes with a private manage link(it's in your reminder emails). Open it to cancel your sign-up or switch to another open slot in a couple of taps. No login needed — the link is your key, so keep it to yourself.

Your check-in code

Your manage page and reminder emails include a check-in code— a QR code unique to you. When you arrive, show it to the organizer and they'll scan it to check you in. You can't check yourself in by opening it; only event staff can.

Reminders & texts

You'll automatically get an email reminder the day before and again just before your slot. Want a text too? Add your phone number and opt in under Settings (this requires a Shortbread account). Standard message and data rates may apply, and you can reply STOP at any time to opt out.

FAQ

Quick answers to common questions.

Do participants need an account?

No. Guests sign up with just a name and email. An account is only needed to create events or to manage SMS reminder preferences.

I never set a password — how do I sign in?

Shortbread doesn't use passwords. Enter your email and we'll send a one-time sign-in link. It works once and expires after 24 hours.

A slot is full. What now?

Full slots can't be booked. Pick another open slot, or check back later — if someone cancels, their spot frees up.

I lost my manage / check-in link.

It's in every reminder email we send for that sign-up, so check your inbox closer to the event. If you still can't find it, ask the organizer — they can look you up and check you in directly.

Can I sign up twice for the same slot?

No — one sign-up per email address per slot. If you need a different slot, use your manage link to reschedule.

How do I stop text reminders?

Reply STOP to any reminder text, or turn off SMS reminders in Settings.

Still stuck?

Organizers can reach out to their team owner; participants can contact the person running the event. You can also revisit your settings anytime.
